01Data controller

The controller is GW LASER TECHNOLOGY S.R.L., tax ID 49240731, registered at Strada Împăcării nr. 2, Sat Rediu, Comuna Rediu, Iași county, Romania, operating voltrailenergy.com under the VOLTRAIL brand.

02What data we collect

• The data you fill into a form: full name, email, phone, company and tax ID, your message and, where it applies, the product or configuration you are interested in.
• The source of your visit: the page, search engine or campaign you arrived from. It is attached to your request so we know where enquiries come from.
• Your IP address, used only at the moment you submit a form, to limit automated submissions. We do not store it with your request.
• Public company data, retrieved by tax ID from the Romanian tax authority (ANAF): official name, county, locality, activity code, VAT status and balance-sheet indicators. This is not personal data, but we mention it so you know why it appears pre-filled in your quote.

We do not ask for sensitive data, we do not ask for card details and the site takes no payments.

03Purposes and legal basis

• To answer your quote request or message: your consent, given through the checkbox in the form — Art. 6(1)(a) GDPR.
• To prepare and perform a sale or rental contract: performance of a contract — Art. 6(1)(b).
• To keep the site working and stop automated submissions: our legitimate interest — Art. 6(1)(f).
• To issue and keep accounting documents: legal obligation — Art. 6(1)(c).

04How long we keep it

• Quote requests and messages: up to 3 years from the last interaction.
• Contracts and invoices: 10 years, as Romanian accounting law requires.
• Server technical logs: 12 months at most.

05Who we share it with

We do not sell your data and we do not hand it to anyone for advertising. It is seen only by the providers we need in order to receive your request and get back to you:

• monday.com Ltd — the system your request lands in, so it does not get lost among emails.
• The email provider through which we receive the new-request notification.
• Vercel Inc. — website hosting.
• Accounting, transport and installation partners, for orders that reach a contract.

06Transfers outside the EEA

Some providers, hosting for example, may process data outside the European Economic Area. Where that happens, the transfer is based on the standard contractual clauses approved by the European Commission or on an adequacy decision.

07Your rights

You have the right of access, rectification, erasure, restriction of processing, objection and data portability. You can withdraw your consent at any time, and withdrawal does not affect processing carried out before it.

08Complaint to the authority

If you want to complain about how we process your data, you can address the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP), B-dul G-ral. Gheorghe Magheru 28-30, Bucharest, www.dataprotection.ro.

09Data security

The site runs over HTTPS, forms submit data encrypted, and access to the system where requests arrive is limited to the people who actually work with them.

10Changes

When we change this policy we update the date shown at the top of the page. Please read it again from time to time.
